The document is a snapshot and shows the situation on the day of issue. You use it to prove that your company exists and is correctly registered. The extract has no fixed expiry date, but loses its practical value as soon as data changes. This is why a recent extract is often requested.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>What information is contained in a CoC extract?<\/strong><\/h2>\n<p>A CoC extract shows the key details of your business. These are:<\/p>\n<ul>\n<li>company name<\/li>\n<li>Chamber of Commerce number<\/li>\n<li>legal form<\/li>\n<li>business address<\/li>\n<li>owner or director<\/li>\n<li>authorised signatories<\/li>\n<li>any branch offices<\/li>\n<\/ul>\n<p>An extract contains public Trade Register details. Check what is on your document before sharing it, for example if your business address is also your residential address.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>Why is a CoC extract needed?<\/strong><\/h2>\n<p>A CoC extract is used to provide assurance about your business. Banks ask for it when opening a business account or for financing. Government agencies may require it for subsidies or permits. Clients also use it to check whether they are doing business with an existing and authorised entrepreneur. Without an extract, an application or agreement may be delayed or refused.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>Types of extracts<\/strong><\/h2>\n<p>The Chamber of Commerce offers different types of extracts. Not every extract is suitable for official use. The difference lies mainly in the degree of authentication and the way in which the document may be used. It is therefore important to determine in advance what you need it for.<\/p>\n<h3><strong>View online<\/strong><\/h3>\n<p>You only use this variant to view data. The document is not authenticated and not suitable as official proof.<\/p>\n<h3><strong>Digitally authenticated<\/strong><\/h3>\n<p>This is an official PDF document with digital authentication. You may share it digitally, but printing invalidates it.<\/p>\n<h3><strong>Paper authenticated<\/strong><\/h3>\n<p>This is a physical document on official paper. It is often requested when a paper proof is needed.<\/p>\n<h3><strong>English extract<\/strong><\/h3>\n<p>This version is partly translated into English. Not every foreign authority will accept it without additional steps.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>What can you do with a CoC extract?<\/strong><\/h2>\n<p>A CoC extract shows that your company is officially registered. The document is used to establish your business identity and to check who is authorised to act. Many organisations ask for this by default in formal processes.<\/p>\n<p>You use a CoC extract for, among other things:<\/p>\n<ul>\n<li>opening a business bank account<\/li>\n<li>applying for grants or funding<\/li>\n<li>concluding contracts with clients<\/li>\n<li>registration with platforms or suppliers<\/li>\n<li>control of authority to sign<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<h2><strong>How long is a CoC extract valid?<\/strong><\/h2>\n<p>Formally, a Chamber of Commerce extract has no expiry date. In practice, organisations almost always ask for a recent document. Often, the extract must not be older than one month. This is because company details can change. As soon as something changes in your registration, a previous extract is no longer up to date. Always ask the recipient which type of extract and what maximum age are required. Only order a new version if your existing document does not meet those requirements.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>Apply for a CoC extract<\/strong><\/h2>\n<p>Order directly <a href=\"https:\/\/www.kvk.nl\/producten-bestellen\/uittreksel-handelsregister-kamer-van-koophandel\/\">at Companies House<\/a> and choose the correct enterprise, establishment and document type. According to the Chamber of Commerce, you will receive a digitally certified PDF by email within ten minutes. Forward the original digital document if digital certification is required. That is something different from ordering a certified extract.<\/p>\n<h3><strong>Chamber of Commerce excerpt VAT<\/strong><\/h3>\n<p>You do not pay VAT on a CoC extract.
