Creating a quotation as a freelancer: example and checklist

A clear quotation shows what you are supplying, what it costs and the associated terms. With the example and checklist below, you can develop a request into a proposal that your client can review.

What do you include in a good quotation?

Start with the customer's question. What result do they expect, what exactly needs to be delivered and by when? Elaborate on that into concrete agreements regarding the work, price and execution. A quotation is an offer; after acceptance, those agreements can bind you.
  • Your company name, address, contact details and Chamber of Commerce number.
  • The correct name and address of the client.
  • Quote number, version number and date.
  • What you are delivering precisely, including quantities or scope.
  • The price, VAT treatment and any additional costs.
  • Schedule, period of validity and what the customer needs to supply themselves.
  • Agreements on changes, additional work and payment.
  • How the customer gives consent and which conditions apply.
This is a practical checklist, not a list of which every item is in itself a legal quotation requirement. Company registration number must be included on business quotations. A quotation number is mainly useful for retrieving the correct version and subsequent agreement.

Example of a quotation for a sole trader

This fictional example is for a Dutch business assignment: setting up three presentation templates. It concerns a fixed project price with 21% VAT. Fill in the details between square brackets yourself and adapt the arrangements to your own work.

Planning: Starts on 5 October 2026. The first version will be supplied on 12 October. I will receive feedback by 15 October at the latest; I will deliver the final files on 19 October. This schedule assumes that I receive the complete corporate identity and sample content by 2 October at the latest. In the event of later delivery, we will agree upon a new schedule.

Scope: The project price includes the above components. Writing new texts, additional templates and extra feedback rounds are excluded. If you wish to add these, you will first receive a quotation detailing the effect on the schedule. I will only start the additional work after receiving your written agreement.

Payment: I will invoice the project price upon final delivery. The agreed payment term is 14 days from the invoice date. In this example, there are no travel or material costs.

Agreed: Please confirm by email that you agree to quote O2026-018, version 1, and the total of €919.60 including VAT. State your name and the company on whose behalf you are giving approval.

Do you use terms and conditions? If so, include a clause stating the correct title and version, and actually include those terms and conditions with your correspondence. Do not simply include a reference to a document that your customer has not received.

Fixed price, hourly rate or cost estimate?

Maak duidelijk hoe het uiteindelijke bedrag wordt bepaald. ‘Ongeveer € 760’ betekent iets anders dan ‘vaste projectprijs € 760’. Combineer geen vaste prijs met open formuleringen waardoor later onduidelijk is wat inbegrepen was.

Werken met een vaste projectprijs

Je spreekt een bedrag af voor een omschreven resultaat. Neem daarom ook aantallen, opleverbestanden en feedbackrondes op. Loopt je eigen uitvoering uit zonder dat de opdracht verandert, dan ontstaat daardoor niet vanzelf afgesproken meerwerk.

Werken op basis van uren

Vermeld het uurtarief, welke werkzaamheden factureerbaar zijn en hoe je uren verantwoordt. Geef eventueel een raming en spreek een moment af waarop je overlegt voordat die wordt overschreden. Bijvoorbeeld: ‘Naar verwachting 8 tot 10 uur à € 85 exclusief btw. Zodra ik verwacht meer dan 10 uur nodig te hebben, vraag ik eerst akkoord voor extra uren.’ Onderbouw je prijs vanuit kosten en beschikbare werktijd. Gebruik daarvoor onze uitleg over je uurtarief berekenen. Voor het verantwoorden van uren kun je een time registration bijhouden.

Offerte inclusief of exclusief btw?

Bij zakelijke klanten kun je de prijs exclusief btw uitsplitsen en de btw plus het totaal eronder tonen, zoals in het voorbeeld. Bij een aanbod aan consumenten moet je de verkoopprijs inclusief btw en onvermijdbare bijkomende kosten vermelden. De ACM legt de regels voor prijsvermelding uit. Pas je de KOR toe, dan bereken je geen btw. Maak in de offerte duidelijk dat je prijs op die vrijstelling is gebaseerd. Ook bij btw verlegd of andere bijzondere situaties controleer je de juiste behandeling vóór je een totaalprijs afspreekt.

Voorkom discussie over meerwerk

Omschrijf een verandering zo dat de klant kan kiezen. Vergelijk bijvoorbeeld deze twee zinnen:
  • Onduidelijk: ‘Extra werkzaamheden worden achteraf doorberekend.’
  • Concreet: ‘Je vraagt een vierde sjabloon. Dat kost € 160 exclusief btw (€ 193,60 inclusief 21% btw) en verschuift de oplevering naar 21 oktober. Ik voeg het toe zodra je hiermee akkoord gaat.’
Bewaar het akkoord bij de offerte. Zo kun je bij facturering laten zien welke uitbreiding is afgesproken. Wil de klant de uitbreiding niet, dan blijft helder welke oorspronkelijke opdracht je wel uitvoert. De offertetips van KVK benadrukken ook een duidelijke omschrijving en afbakening.

Geldigheid, akkoord en algemene voorwaarden

Kies een geldigheidsduur die past bij de planning en je prijsrisico. De termijn van 14 dagen in het voorbeeld is een keuze, geen standaardregel voor alle offertes. Is de termijn verstreken, bespreek dan eerst of prijs en beschikbaarheid nog kloppen en stuur zo nodig een nieuwe versie. Een handtekening is niet de enige manier waarop een overeenkomst kan ontstaan: ook een duidelijk akkoord per e-mail kan afspraken vastleggen. Maak herkenbaar op welk voorstel de klant akkoord geeft. KVK beschrijft het belang van afspraken schriftelijk vastleggen; akkoord op een offerte kan een overeenkomst opleveren. Algemene voorwaarden zijn niet voor iedere onderneming wettelijk verplicht. Gebruik je ze wel, verklaar ze dan vóór of bij het sluiten van de overeenkomst van toepassing en geef de klant gelegenheid ze te lezen en te bewaren. Stuur ze bijvoorbeeld als bijlage met de offerte mee. Alleen achteraf een verwijzing op de factuur toevoegen is daarvoor te laat. Lees de uitleg van KVK over algemene voorwaarden.

Controleer je offerte vóór verzending

  • Kan de klant zien welk resultaat hij krijgt en wat buiten de prijs valt?
  • Kloppen aantallen, optellingen, btw en het totaal?
  • Zijn extra kosten en de prijs van mogelijke uitbreidingen duidelijk?
  • Is de planning haalbaar en staat erin wat je van de klant nodig hebt?
  • Is herkenbaar hoe, wanneer en op welke versie de klant akkoord geeft?
  • Zijn genoemde voorwaarden en bijlagen daadwerkelijk toegevoegd?
Bewaar de verstuurde versie en het akkoord samen. Controleer bij het maken van de factuur of de gefactureerde werkzaamheden overeenkomen met deze afspraken en eventueel goedgekeurd meerwerk. Daarmee blijft de lijn van offerte naar uitvoering en betaling duidelijk.

Set a clear deadline for acceptance yourself that suits the offer. There is no general rule that every quote is valid for precisely 14 or 30 days. In the event of an expired proposal, you check again whether the price and availability are still correct.

A clear email agreement can establish a contract. Have the customer mention the quotation number and version so that it is certain which offer has been accepted. Additional formal requirements may apply to specific agreements.

Not as a general statutory obligation for every entrepreneur. A trade association or insurer may, however, set requirements. If you use terms and conditions, make them available in good time and declare them applicable to the agreement.
